We are expanding our Seattle office to include a full-time Clinical Operations Assistant. This is an exempt position, with excellent benefits, and reports to the Director of Clinical Operations. The successful candidate will have exceptional communication, team-building and problem-solving skills, enjoy the challenges of working in a start-up, fast-growing environment, and must want to join a team of innovative professionals.
The Clinical Operations Assistant is responsible for assisting with the day to day clinical management and operations of our Medical Groups. This position works in close collaboration with all team members throughout the Carena organization and will provide superior customer service to all.
Duties & Responsibilities
- Assist with the day to day administrative and clinical operational functions
- Provide support to the Director of Clinical Operations and Medical Directors ensuring practice management and medical group policy meet objectives
- Provide administrative support to the Chief Medical Officer including calendar scheduling
- Maintain the physician data base; track and complete all physician paperwork and applications including CME, licensure, and credentialing
- Manage relationship with credentialing contacts, hospitals, and vendors as needed
- Manage medical supply ordering and inventory, maintain neat and orderly supply room
- Plan all aspects of the physician monthly meetings including booking of conference room and catering, taking meeting notes, providing documentation as needed
- Coordinate travel arrangements for medical personnel as needed for recruiting, regional meetings, and sales/marketing activities
- Provide assistance in the physician recruitment process, including working with recruiting vendors, posting positions, screening of applicants, candidate tracking and ensuring physician on-boarding requirements
- Maintain and update personnel files for medical groups
- Assist with medical billing related reconciliations
- Provide assistance with completing insurance applications
- Successfully complete assigned administrative duties in a timely manner
- Support client service and new medical group expansion initiatives
- Work with Carena executives and staff in supporting medical group policy
- Orient new physicians to our business model and service expectations as needed
Essential Skills, Experience & Education
- An associates degree in business or similar field (required)
- One to three years experience in clinical office management preferred
- Previous work experience in the health care industry required
- Physician recruitment experience a plus
- Proficient with MS Outlook, Word, Excel
- Excellent communication, team-building and problem-solving skills
- Superior organization and project management skills
- Strong customer service focus with a passion to exceed customer requirements
- Positive, persistent, solution-focused personality
- Sense of humor and ability to perform successfully in a rapidly changing, growth environment
